Awareness Education

What is Awareness Education?

Awareness Education is for every public servant in South Australian Government, both Local and State and in some cases university staff. Awareness Education has been designed to provide an overview of the key elements within a particular subject.

For Records Management, Awareness Education addresses such elements as:

  • What is records management?
  • What is an information resource and what is a record?
  • What are the issues related to records management? (e.g. standards and legislation)
  • What role do I play in my organisation's recordkeeping program?
  • What are my responsibilities, especially in relation to the State Records Act, 1997?

For Freedom of Information (FOI), Awareness Education addresses such elements as:

  • What is FOI?
  • The objects and benefits of FOI.
  • Making and processing FOI applications.
  • Fees and charges.
  • Making a determination and rights of the applicant.
  • Related policies and legislation.
  • Other obligations and considerations in relation to the Freedom of Information Act, 1991.

How is Awareness Education delivered?

Awareness Education sessions are delivered:

  • On-line via the State Records E-Resource Network Initiative (ERNI) that became available to the public sector early in 2006.
  • Via face-to-face classroom courses usually given at the State Records Training Facility.

What is ERNI?

The Electronic Resource Network Initiative is the on-line delivery mechanism for Awareness Education modules that State Records has developed for public servants.

This initiative will enable all public servants to improve their recordkeeping practices through a series of interactive sessions, which have been designed to facilitate a better understanding and appreciation of the need for, benefits, and principles of sound records management practices within the workplace in the context of the Freedom of Information Act, 1991, the Information Privacy Principles (IPPs) and Agency responsibilities according to the State Records Act, 1997.

Once a public servant has registered and completed a course within ERNI they will be able to access the ERNI courses for future learning and reference purposes.

Currently, State Records offers the following courses on-line:

More on-line course will be made available later in 2009 to cover:

  • General Introduction and Awareness for Privacy

Freedom of Information Induction

The aim of this FOI Induction course is to help you understand how you can contribute to the effective and efficient processing of incoming FOI requests in your agency. Importantly you`ll become aware of how FOI responsibilities relate to Records Management and Privacy in the workplace. By navigating through the series of questions and answers you will learn more about what FOI processing means for you and your teammates.

Assessment:

Upon completion of the module you will be asked to confirm your understanding of your specific FOI responsibilities. A self-assessment quiz is included to assist you determine your level of knowledge on the subject of FOI. You can submit the quiz and sign-off that you accept your FOI responsibilities at any stage. You can go to the Assessments area at any time during the module, there are no pre-requisites. You will find a self-quiz that will enable you to get a quick overview of your knowledge of the content of the module. To finish the module you will be asked to accept a statement about your responsibilities with regards to FOI. At this point you can choose to return to the main area and read or discuss more. FOI General Awareness

This course is designed to provide staff from across State Government, Local Government and Universities with a general understanding of the Freedom of Information Act, 1991 and the obligations and requirements the Act places on them and their agencies.

Specifically the course covers the following:

  • What is FOI
  • The objects and benefits of FOI
  • Making and processing a FOI application
  • Fees and charges
  • Making a determination and rights of the applicant
  • Related policies and legislation
  • Other obligations and considerations

Assessment:

This course is not formally assessed. However, a certificate of attendance is awarded.

Target Audience:

Staff from State Government, Local Government and Universities in South Australia that require a general understanding of the FOI Act and how their agency deals with FOI applications.

It may also be useful for staff who are planning to attend the course Training for Designated FOI Officers to attend the General Awareness course first to gain a basic understanding of the FOI Act.

Registration and Enrolment - Awareness Courses

The State Records website publishes up-to-date details of the status of all of its courses in the Training and Education Schedule. From these details, the following information can be acquired for any Awareness Course Event:

  • the First Registration Date - is the course yet available for enrolment.
  • the Start Date - when is the course due to start
  • the cost per seat - some may be NO CHARGE others may have a fee.

After confirming that the course is available for enrolment, the following process steps have to be followed to enrol in a course:

If in doubt over your status, then proceed to Registering as a Training and Education Customer where you may also check your status.

Registration as a Training and Education Customer

You cannot enrol in State Records Training and Education Courses until you are a registered State Records customer.

Note: This is a different process to that for customer who retrieve records from the State Records Repository.

  • I do not know if I am registered:
    1. Click on Member Services in the banner at the top of any web page.
    2. Click on Member Login in the left hand menu.
    3. Enter the word Members in the Group: box and enter your usual email address in the Email Address: box.
    4. You will now receive a message informing you whether State Records does or does not recognises you.
    5. If you are a registered State Records customer, an email will be sent to the email address you have just entered. This email is important as it will contain your Login and Password for the Group 'Members'. After your email has arrived, proceed to Enrol in an Awareness course.
    6. If you are not registered, proceed to Register.
  • I have forgotten my registered Login and Password for the Group 'Members - follow the preceding process for 'I do not know if I am registered'.
  • I am definitely not a registered customer - proceed to Register.
  • I know I am registered as a State Records customer and I have my Login and Password for the Group 'Members' - proceed to Enrol in an Awareness course.

At this stage, you have decided that you need to register as a State Records customer for Training and Education purposes.

Register

I will register as a State Records customer:

  • Click on Member Services in the banner at the top of any web page.
  • Click on Create Contact Registration in the left hand menu.
  • Enter your details in the mandatory fields (highlighted in red).
  • Click on the Create New Contact Details button.
  • Check any relevant information is correct and add any optional information that you wish to enter.
  • Click on the Save New Contact Details button.

An automatic email will be sent to an administrator to approve your request. On approval, an automated email will be sent to the email address with which you registered.

This will contain your Login, Password and Group 'Members' that will be used for any future Login to the State Records website.

You will need these details to attempt to enrol in a Training Course.

Enrol in an Awareness course

At this stage, you believe that you are definitely registered as a State Records customer for Training and Education purposes. You have your Login and Password for the Group 'Members'.

You can now proceed to perform the process to actually enrol in a course. One of two methods is currently available:

  • If the course in which you wish to enrol is an on-line NO CHARGE course, proceed to the web site link https://www.archives.sa.gov.au/elearning/index.html. You will be required to Login using your Login and Password for the Group 'Members'.
  • To enrol in any other type of Awareness Course, currently you have to follow the same procedure as that for Enrolling in an Accredited Operational course - see link below.

Perform an On-line ERNI course

As part of the Enrolment process, if you have successfully enrolled in an on-line ERNI course, you will have been sent an automatic email with details to allow you to perform the course on-line via the Internet.

Using this email proceed as follows:

  • The email contains an active web link pointing to the login point for the start of your course.
  • Click on this and it will take you to a web page requesting a Login, Password and Group.
  • The email contains all of these pieces of information.
  • Copy and Paste the information from the email into the login boxes displayed in your web browser and click the member_login button.
  • You will now be presented with an introductory web page containing a list of all of the courses in which you are currently enrolled - including any classroom courses.
  • Select the appropriate ERNI on-line course link listed in the top right hand corner of this web page and click it.
  • This will display a Table of Contents for your course.
  • You may proceed through this course in any order you choose that makes sense to you.
  • You may perform the course over any number of Internet sessions. However, you will need to login to the course each time you wish to start a new session.
  • At any stage, you are able to select the Assessment link and attempt the on-line Quiz.
  • If you successfully complete all of the questions, you will be offered an I accept button.
  • Clicking this button, will display a web page showing a statement that you have been successful plus a button to Print a Certificate via the Internet.

Details of your enrolment, the date you started the course and whether you were successful in completing the course are recorded in your on-line Student History.
