Pre-1901 Records Made Permanent

The State Records Council approved the permanent retention of all pre-1901 official records of both state and local government at its meeting of 19 February 2008.

State Records has updated the records disposal schedule (RDS) template to be used by agencies to include a pre-1901 records statement as standard text. Contact our Records Management Services team to obtain the amended RDS template.

State Records will be directly contacting those agencies whose existing RDS' provide coverage for pre-1901 records. Some re-sentencing may be required if such records were previously deemed to be of temporary value.

A number of Record Advice Sheets and Guidelines to assist agencies or records management consultants in the development and approval of RDS' are available via the links below.

General Disposal Schedules will be progressively updated to include a pre-1901 records statement in the Introduction section. The first GDS to be amended will be GDS 20 for Local Government, as part of a larger review currently underway.

Agencies that still hold pre-1901 records should contact our Collection Management Services team to discuss the transfer of these to the custody of State Records.

Across-Government Standards for Record Management

State Records has recently updated two Standards. The Adequate Records Management Standard has now been updated to include an 11th Outcome, Resourcing which establishes the need for agencies to adequately resource records management activities. The South Australian Recordkeeping Metadata Standard (SARKMS) has also been amended to align the security classification and caveat schema with the Commonwealth Protective Security Model (PSM) 2005 security classification regime.

To ensure records that are created before, during and after the life of a contract are managed appropriately, State Records has developed the Contracting and Official Records Standard. This Standard advises agencies on current records management legislation, government policy and appropriate business practices that should be considered when preparing tender and contract documentation in order to eliminate any records management risks when contracting.

Change to October 2008 Sunday Opening Hours

Our Gepps Cross Research Centre, located 10km north of the City of Adelaide, is normally open on the first Sunday in each month. As Monday the 6th of October is a public holiday, the Gepps Cross Research Centre will not be open on the 5th of October. Instead the Gepps Cross Research Centre will be open on Sunday the 12th October from 11am until 5pm.

We look forward to your visit and to assisting you in accessing the South Australian archival records collection.

FOI Training Courses - September/October 2008

State Records, in conjunction with the Australian Government Solicitor, is conducting the following Freedom of Information (FOI) training courses for public sector employees in September and October 2008:

  • Processing FOI with Confidence
  • Key FOI Exemptions in Practice
  • Public Interest and FOI
  • Personal Information and FOI.

These courses are specifically aimed at accredited and non-accredited FOI Officers, from across State Government, Local Government and universities, who process and deal with FOI applications in South Australia. Although it is not a pre-requisite to have completed the Training for Designated FOI Officers course, it is assumed attendees have either completed this course or will have the requisite knowledge and experience in processing FOI applications.

Agency Retrieval Request Form Updated

To ensure the effective and timely retrieval of permanent records State Records has updated its Authorised Agency Retrieval Request Form. The new form contains the current fax number to send through retrieval requests and also a phone number and email address for any retrieval queries.

If you have saved the form to your desktop or have printed versions around your office please ensure that the current retrieval request form is now used when retrieving records.

Freedom of Information (ERNI) Induction Training

Freedom of Information (FOI) Induction Training is now available as an on-line module via ERNI, our E-Resource Network Initiative. The aim of this course is to help staff gain an understanding of FOI so they can contribute to the effective and efficient management of FOI in their agency. Designed for all staff, the module also shows how FOI responsibilities relate to Records Management and Privacy in the workplace. After completion the material will remain available for future reference.

The module is self-paced with a short quiz at the end, is only available on-line and is free of charge.

Increase to regulated fees and charges

In line with the annual review of fees and charges governed by Regulation, most of the fees and charges under the State Records Act, 1997 and Freedom of Information Act, 1991 will increase from 1 July 2008 in line with CPI.

Details of the revised fees and charges can be accessed through the South Australian Government Gazette No 30, 5 June 2008 (903 Kb PDF File).

Record Transfers to Archival Custody - June 2008

To keep researchers up-to-date with new transfers of records to our custody, we regularly prepare a list of selected records recently added to the State Records' collection. Our June listing can be viewed using the link below. Remember, documents can be requested to be viewed at one of our Research Centres by using the 'Direct Search' option in ArchivesSearch. Please note, more recent records may be restricted.

Tertiary Accredited Training 2008

State Records has released the training schedule for the Tertiary Accredited Training courses for 2008.

Because of demand, there will be two streams of Certificate III Business - Record Keeping. However, there will be no delivery of the Certificate IV Business - Record Keeping.

Access Determinations Guideline for Agencies

The Public Access Determinations Guideline has been revised and is now available for agencies to download from this website.

State Records is the principal repository for official records of government that are no longer required by agencies for current administrative purposes.

Agencies are responsible for making public access determinations for their official records when transferring them to the custody of State Records.

The guideline provides broad advice on when records should be open, when they should be closed and what period of restriction should be applied.
