Accessing your School Records - How State Records can help

At some time in your life, you may find it necessary to provide information about your school enrolment - where and when you attended school. You may require this information for the following reasons:

  • date of admission of student
  • to obtain a job
  • for entry to TAFE, University, etc.
  • for entry to the defence forces
  • for immigration purposes
  • for establishing pension rights.

State Records' staff can assist you in verifying your school enrolment information for entitlement purposes. Where we do not hold the relevant record, we will refer you to another source of information. If you have left school within five years and are seeking enrolment information, first contact the school you attended.

Admission Registers

Our collection includes school admission registers transferred to State Records from South Australian state government primary and secondary schools from the 19th century until present. Please note: Not every school or date range is represented in our collection.

An admission register contains some or all of the following information:

  • date of admission of student
  • date of birth of student
  • name of parent or guardian
  • home address of student
  • previous school/s attended and date of leaving that school
  • date of leaving school and reason for leaving.

Once State Records' staff have determined whether we hold the record you have requested, from the information contained in the admission register State Records can provide you with:

  • a photocopy of the entry in the admission register pertaining to your enrolment
  • a brief letter confirming dates of your enrolment at the school.

If the admission register is less than 30 years old, due to access restrictions, you will need to show photo identification, e.g. a driver's license or passport, before we can issue you with this information. Members of the public may inspect or obtain copies of any admission registers more than 30 years old.

If the admission register you want is not held by State Records, contact the school you attended. They can usually provide you with the information required, in the same way as State Records. Please note: Schools are often closed during the holidays and may be unavailable to assist you at that time.

Request for Student Reports or Results

If you are seeking student reports or results, contact the school you last attended. If you want a replacement SACE certificate, Senior Secondary Certificate, Matriculation, Leaving, Leaving Honours or Intermediate Certificate, please contact:

State Records no longer holds student reports or results.

For reports or results from a previous school, contact the last Government school you attended. In the Government school system, each student has one file and that file transfers to a new school when the student transfers. The school will need to know what year you left school in order to search for your file. The school can usually:

  • find your file and provide a copy, once you have provided proof of your identity; or
  • tell you that the file is no longer available. In that case, you may like to request proof of enrolment (see Admission Registers); or
  • tell you that the file was transferred to State Records or into other storage some time in the past. In that case, please contact:
