How Do I Order Records?

Ordering on-line - ArchivesSearch

You can order most records for viewing at either of our Research Centres. Records can be ordered on-line using ArchivesSearch.

ArchivesSearch is available from this website by selecting Access Collection Catalogue from the blue banner at the top of this page.

Please use the 'How to Order' instruction page available in ArchivesSearch or visit a Research Centre where staff can show you how to place an order.

Public users can order records that have no access restrictions applying to them. If you are unable to order a record because of an access restriction, please contact a Reference Officer.

Please note: There are no digital images of records available on-line.

Viewing records

The State Records Collection is housed at the Gepps Cross Repository, which is attached to the Gepps Cross Research Centre.

Most original records can be ordered for viewing at either Research Centre. However, some records are not available for viewing at the City Research Centre. This may be due to their fragility, weight, size or format. In these cases, the records may be ordered for viewing at the Gepps Cross Research Centre.

For preservation purposes, a number of frequently accessed records have been copied onto microfilm or microfiche. Microfiche and microfilm readers are available at both Research Centres.

Limitations on the transport of records

Most original records can be ordered for viewing at either Research Centre. However, due to fragility some records cannot be transported from Gepps Cross to our Leigh Street Research Centre. Additionally, some records cannot be transferred due to weight limits. Any volume of box that exceeds ten kilograms in weight can no longer be transported. In both these cases, the records may be ordered for viewing at the Gepps Cross Research Centre only.

If your requested record is deemed to be too fragile or too heavy to transport we will make every effort to contact you and advise that the record will not be available at Leigh Street. However, we suggest that you contact Research Enquiries prior to your visit to ensure that your requested record will be available.

How long will it take to retrieve the records?

Because of the size of the repository and the collection, the process of retrieving records from the repository can be quite time consuming. For this reason it is important to plan ahead and leave sufficient time for both the retrieval and your research.

Gepps Cross Research Centre

State Records will try to make sure that researchers visiting the Gepps Cross Research Centre are able to view records within a maximum of one hour from ordering.

City Research Centre

As State Records' collection is housed at the Gepps Cross site, if you wish to view records at the City Research Centre you will need to wait for the records to arrive.

  • Orders placed before 11:00 am will be available from 1.30 pm the same day.
  • Orders placed after 11:00 am and before 3.30 pm will be available from 9.30 am on the next day that the City Research Centre is open.
  • Orders placed after 3:30 pm may not arrive until 1:30 pm on the next day that the City Research Centre is open.
