How Do I Order Records?

You can order the records you wish to view at either of our Research Centres. Staff are available at both Research Centres to show you how to place an order.


The On-line Collection Catalogue - ArchivesSearch

You can also order from home using ArchivesSearch, our on-line collection catalogue. ArchivesSearch is available from this website. Follow the links from the 'Search Collection' tab in the blue banner at the top of this page.

Please Note:

  • ArchivesSearch does not enable on-line viewing of records. It provides information about the collection, which will help you identify the records you want to see. When placing an order, you will be asked to select one of our Research Centres as a viewing location.
  • Public users may only order records that have no access restrictions applying to them.

Retrieving Records for Your Research

The State Records Archival Collection has been consolidated and it is housed at the Gepps Cross Repository, which is next to the Gepps Cross Research Centre.

Many items in their original format may be ordered for viewing in the State Records Research Centres.

Some items, however, will not be available for viewing at the City Research Centre. This may be due to their fragile nature, weight, size issues or their format. In such cases, you may only order the item for viewing at our Gepps Cross Research Centre.

For preservation purposes, a number of fragile and high-access records in our collection have been copied onto microfilm or microfiche. Microfiche and microfilm readers are available in both of our Research Centres.

How long will it take to retrieve the records?

Gepps Cross Research Centre

Please note that the process of retrieving records from the repository can be quite time consuming due to the size of the repository and the collection. For this reason it is important to plan ahead and leave sufficient time for both the retrieval and your research.

State Records will strive to ensure that customers visiting the Gepps Cross Research Centre are able to view the records they order within a maximum of one hour from ordering.

City Research Centre

All of State Records collection is housed in the Repository at our Gepps Cross site. Consequently, if you wish to view records in the City Research Centre you will need to order them in advance.

  • Orders placed before 11:00 am will be available from 1.30 pm the same day.
  • Orders placed after 11:00 am and before 3.30 pm will be available from 9.30 am on the next day that the City Research Centre is open.

How many records can I order?

Generally speaking, you may order up to 8 units or record items at one time.
